Medical Transportation

Help may be available for transportation to Medical Appointments. This help can take the form of reimbursement, special need transport arrangement, or usage of Social Services’ Chauffeurs and volunteer drivers.
For all requests, we check the type of Medicaid coverage because certain types do not qualify. Clients with Provisional coverage must make spend-downs before coverage takes effect. Family Planning, Family Health Plus, and Managed Care coverage does not include transportation.
Also, several types of providers that do not qualify for transportation include Podiatrists (specific rules apply), Chiropractors, Weight Management and Nutritionists, and Acupuncturists. The general rules are (but not restricted to) the following:
- We check DMV (Dept. of Motor Vehicles) for license and registration information for every request. If the client (or client's non-working spouse/significant other) has a valid license and a registered vehicle, they must drive client or family members to medical apopintments. - B-Line services Batavia and Leroy areas - client must drive, use B-Line or walk if they live in either city and the appointment is in the same city. We do not reimburse local transportation.
- Contact (585) 344-2580, Ext. 6437 before any appointment takes place to request approval. Trip must be 30 miles or more Round trip in miles traveled to qualify for reimbursement.
- If the appointment is rescheduled, approval is required for the rescheduled appointment.
- Every client must request a confirmation on the doctor's letterhead as proof that they attended the appointment on the date/time of the transport. This comfirmation is returnedc with the voucher in order to be reimbursed.
Social Services’ Chauffeurs and Volunteer Driver may be allowed for certain clients with medical or extreme hardship if you qualify based on your situation and resources.
The general rules are (but not restricted to) the following:
- All appointments must be arranged through Social Services one to two weeks in advance of the appointment.
- If a Volunteer Driver is used, the client must call in the appointment information along with the driver’s name to (585) 344-2580, Ext. 6437 prior to the appointment.
- If a client cannot find a driver, they must reschedule their appointment. Before rescheduling, the client may discuss with the volunteers when they would be available.
- For appointments of children six years old or younger, the attending parent/guardian must supply the appropriate child car or booster seat. Only one parent and the child for whom the appointment is designated are allowed on the transport. Arrangements for a babysitter must be made for other children who do not have an appointment. - For all other clients, only the client with the appointment is allowed on the transport. Bringing friends and additional family members is not allowed without a specific reason and permission must be requested ahead of time. Bringing children when the appointment is for an adult client is not allowed.
- Every client must request a confirmation on the doctor’s letterhead as proof that they attended the appointment on the date/time of the transport. This confirmation is returned to the volunteer driver in order for the volunteer to be reimbursed.
- To maintain a consistent level of service, clients are expected to meet all responsibilities and expectations when using the volunteers, including (but not limited to) being prompt when picked up, polite and respectful to the volunteer, using seat belts, attending the appointment and leaving promptly after. Failure to meet the responsibilities and expectations may result in being denied access to the Volunteer Drivers.
