 CENTRAL SERVICES SUPERVISOR
   (GENESEE COMMUNITY COLLEGE) 

DISTINGUISHING FEATURES OF THE CLASS:  This position is responsible for the coordination and operation of various services within the College Services Department.  Work involves responsibility for ensuring customer service and maintenance of a wide variety of supply inventory. Input on new products, processes and control supply costs are an integral part of this position.  Monitor deliveries but also coordinate interoffice deliveries while evaluating, developing and implementing best practice.   Assist with quotes in accordance to policies and procedures.  Recruitment, hire and train new staff.  The incumbent is responsible for the maintenance of accurate data and complete reports.  The work is performed under direct supervision, in accordance with established policies and procedures, allowing some leeway for carrying out the details of the work.  Supervision is exercised over a number of subordinate personnel engaged in the coordinating of activities for its movement, care and utilization.  Does related work, as required.

TYPICAL WORK ACTIVITIES:
Ensure customer service needs are handled and met in
     a timely manner;
Maintains supply inventories at optimum levels to prevent
     under-or-over investment in inventory;
Responsible for recommending new products, processes needed
     for control supply costs and to improve efficiency;
Monitor incoming and outgoing deliveries to the College,
     ensuring proper handling and delivery to appropriate recipient;
Supervise subordinate staff and work study staff to
     ensure workflow and productivity;
Assign work schedules, evaluate staff, maintain employee records,
     manage time and attendance;
Responsible for recruitment, hiring, training;
Assist College purchasing agent with verbal and written quotes
     as required by the purchasing procedures and with
     competitive bids as required by College, Federal,
     State and County Statutory requirements and federal
     grant agreement terms;
Maintains a variety of control and activity records related
     to the department and mail room;
Compile and manage other departmental related data and
     submit reports as requested;
Stage and deliver all completed duplication jobs designated
     for interoffice delivery;
Serve as a backup to areas or positions related as needed during
     absences/vacancies;
Performs related duties as assigned.

FULL PERFORMANCE KNOWLEDGE, SKILLS, ABILITIES AND/OR PERSONAL CHARACTERISTICS:  Good knowledge of inventory record keeping; Strong ability to organize, prioritize, and manage multiple projects simultaneously with minimum amount of supervision.  Excellent communication skills both oral and written.  Working knowledge of computer skills and the ability to utilize Microsoft Office. Must have the ability to handle large diverse projects and a large volume of detailed work simultaneously while using good judgement in prioritizing and strategizing tasks.  Must demonstrate a strong commitment to diversity.

The employee must occasionally lift and/or move up to 50 pounds and on occasion lift and/or move more than 100 pounds.  Specific vision abilities required by the job include close vision and the ability to adjust focus.

MINIMUM QUALIFICATIONS:  Graduation from high school or possession of an appropriate equivalency diploma recognized by the NYS Dept. of Education and

  1. Graduation from a regionally accredited or NYS registered college with a Bachelor’s Degree or Higher in  business, supply chain management  or related field;

OR:

  1. Graduation from a regionally accredited or NYS registered college with an Associate Degree as defined above; AND two (2) years of full-time, paid experience in bulk mail or copy center or shipping and receiving and/or purchasing services;

OR:

  1. Four (4) years of full-time, paid experience as defined above; AND one (1) year of which has to be in a supervisory capacity.

NOTE: Part-time, paid experience will be pro-rated.
